Admitix respects your privacy and is committed to protecting personal information in accordance with the Privacy Act 2020 and the New Zealand Information Privacy Principles.
This Privacy Policy explains what information we collect, why we collect it, how we use and share it, how long we keep it, and the rights you have in relation to your personal information.
This policy applies to people who use Admitix, including ticket purchasers, website visitors and Event Organisers.
1. Who we are
Admitix provides online ticketing, event management and payment services for Event Organisers.
Admitix is operated by Cda Solutions Ltd, NZBN 9429032622911, 17a Rua Street, Gisborne. Email: [email protected]
Where you purchase a ticket through Admitix, both Admitix and the relevant Event Organiser may hold personal information relating to your booking.
The Event Organiser may have its own privacy obligations and privacy policy governing its use of information provided to it.
2. What information we collect
The information we collect depends on how you use Admitix.
Ticket purchasers
When you make a booking, we may collect your name; email address; phone number, where requested; billing or contact information; the event and tickets you purchase; order and transaction information; booking history; any information you enter into booking questions or event-specific forms; communications you send to Admitix regarding your booking; and information required to process refunds, disputes or support requests.
An Event Organiser may ask us to collect additional information that is reasonably required for its event.
Where an Event Organiser requests additional information, it should clearly identify what information is being requested and why.
Event Organisers
If you create or operate an Event Organiser account, we may collect information such as your name; email address; telephone number; organisation or trading name; account credentials; event information; payout and bank account information; transaction and settlement information; identity or verification information where reasonably required; communications with Admitix; and information relating to your use of the Admitix platform.
Information collected automatically
When you use Admitix, we may also collect technical information such as IP address; browser and device type; operating system; pages viewed; timestamps; referring pages; login and security activity; and other technical information required to operate, secure and improve the platform.
This information may be collected using cookies, server logs and similar technologies.
3. Payment information
Payments through Admitix are processed using Stripe.
Payment card information entered into Stripe's payment interface is processed by Stripe. Admitix does not store your full credit or debit card number.
We may receive and retain limited payment information from Stripe, such as payment status; transaction identifiers; payment method type; limited card information such as the last four digits; and information required for refunds, accounting, fraud prevention and dispute management.
Stripe processes payment information in accordance with its own privacy and security terms.
4. Why we collect and use personal information
We collect and use personal information where it is reasonably necessary to operate Admitix and provide our services. This includes processing ticket purchases; issuing tickets and QR codes; sending booking confirmations; processing payments; processing refunds; providing tickets to customers; allowing Event Organisers to manage attendees; validating tickets at event entry; communicating changes, postponements or cancellations; providing customer support; preventing fraud and misuse; maintaining platform security; processing Event Organiser settlements and payouts; keeping accounting and transaction records; meeting legal and regulatory obligations; resolving disputes and chargebacks; improving the operation and reliability of Admitix; and sending marketing where you have agreed to receive it.
We will not use personal information for a purpose that is unrelated to the reason it was collected unless permitted by law.
5. Information provided to Event Organisers
When you purchase a ticket, we provide the relevant Event Organiser with information reasonably required to operate its event. This may include your name; contact details; ticket type; order information; answers to event-specific booking questions; and information required for entry, attendee management or legitimate event communications.
Event Organisers may use this information to administer the event, communicate important event information and fulfil their responsibilities to ticket holders.
Event Organisers must comply with applicable privacy and marketing laws when using customer information supplied through Admitix.
Purchasing a ticket does not automatically give an Event Organiser permission to add you to an unrelated marketing list.
Where an Event Organiser wants to use your information for optional marketing, this should be based on an appropriate opt-in or other lawful authority.
6. Marketing
Admitix may send you messages that are necessary to service your booking, including ticket confirmations; receipts; event updates; venue information; postponements; cancellations; refund information; and important safety or operational information.
These are transactional communications and are separate from marketing.
We will only send optional promotional communications where we have an appropriate basis to do so.
Where you have opted in to marketing, you may unsubscribe at any time using the unsubscribe link provided or by contacting us.
Where Admitix offers an option to share your details with participating promoters, venues or other organisations for their marketing, that sharing will occur only in accordance with the choice presented to you when you opt in.
7. Who we share information with
We may provide personal information to organisations that help us deliver the Admitix service. These may include Stripe — payment processing, refunds and payment fraud prevention; Supabase — database, authentication and infrastructure services used by the Admitix platform; Resend — delivery of ticket confirmations, transactional emails and other platform communications; Event Organisers — information required to administer your booking and event; and venues and authorised event staff — where reasonably required for event entry, attendee management or safety.
We may also provide information to professional advisers, technology providers, regulators, courts, law-enforcement agencies or other parties where reasonably necessary or required or permitted by law.
We do not sell personal information.
8. Overseas processing and storage
Some of the technology providers used by Admitix may store or process information outside New Zealand.
Where an overseas organisation is acting only as our service provider or agent for storage or processing, different Privacy Act rules may apply than where personal information is disclosed to that organisation for its own purposes.
Where Information Privacy Principle 12 applies to an overseas disclosure, Admitix will take reasonable steps to ensure that the recipient is subject to appropriate privacy safeguards or will otherwise comply with the requirements of the Privacy Act 2020.
9. Information we receive from other people
Most personal information is collected directly from you.
There may be circumstances where we receive information about you from another person or organisation, such as an Event Organiser; another person making a booking on your behalf; a payment provider; a fraud-prevention or security provider; or another service provider involved in processing your booking.
Where required by the Privacy Act, we will take reasonable steps to make you aware that the information has been collected, why it was collected and how it will be used.
10. Cookies and analytics
Admitix may use cookies and similar technologies that are necessary to keep you signed in; maintain booking sessions; remember preferences; secure the platform; prevent fraud; understand website performance; and improve the Admitix service.
Some cookies are necessary for the site to function.
If Admitix later uses optional advertising or behavioural tracking technologies, we may provide additional information and controls relating to those technologies.
11. Security
Admitix takes reasonable technical and organisational steps to protect personal information against loss; unauthorised access; misuse; alteration; disclosure; and destruction.
These measures may include access controls, authentication, encrypted connections, restricted administrative access, database security and monitoring.
No online service can guarantee absolute security, but we work to protect information proportionately to the nature and sensitivity of the information we hold.
12. Privacy breaches
If Admitix becomes aware of a privacy breach, we will investigate it and take reasonable steps to limit any harm.
Where a privacy breach meets the notification requirements of the Privacy Act 2020, we will notify the Office of the Privacy Commissioner and affected individuals as required.
13. How long we keep information
We keep personal information only for as long as reasonably necessary for the purposes for which it was collected or as required by law.
This may include retaining booking and transaction records where they are needed for refunds; accounting; tax obligations; financial reconciliation; chargebacks; fraud prevention; dispute resolution; or legal compliance.
Information that is no longer reasonably required will be deleted, anonymised or otherwise securely disposed of where practicable.
14. Accessing and correcting your information
You have rights under the Privacy Act 2020 to request access to personal information Admitix holds about you and to request correction of that information.
To make a request, contact [email protected]
We may need to verify your identity before providing or changing personal information.
Where the information is held or controlled by an Event Organiser rather than Admitix, we may refer you to that Event Organiser.
15. Deleting your information
You may ask us to delete personal information we hold about you.
We will consider the request and remove information where we are able to do so.
Some information may need to be retained for legitimate operational, financial or legal purposes, including completed transaction records, accounting records, fraud prevention, disputes or other legal obligations.
16. Privacy complaints
If you believe Admitix has not handled your personal information appropriately, please contact our Privacy Officer: [email protected]
We will investigate privacy complaints and attempt to resolve them.
If you are not satisfied with our response, you can make a complaint to the Office of the Privacy Commissioner of New Zealand.
17. Changes to this policy
We may update this Privacy Policy from time to time as Admitix, our technology providers or applicable law changes.
The current version will be published on the Admitix website with its effective date.
Where a change materially affects how we use personal information already collected, we will take reasonable steps to notify affected users where appropriate.
